Job Summary-Asset Acquisitions Assistant Job Description

To act as the first point of contact for all queries from Sales teams, other departments, THE COMPANY Production and Independents, relating to in-coming materials. To liaise with members of the Asset Acquisition team to find out information about Programme details, delivery updates and technical queries

  To assist the Asset Acquisition team with ‘numbering up’ master and DVD materials as directed
• To manage access to the Portal and to manage the content that’s recorded
• Monitor the weekly schedule for the overseas offices ensuring programmes appear on the viewing platform within agreed turnaround times
• To be the first point of contact for all queries
• To arrange shipment of technical materials to Co-Producers, ensure correct and timely delivery, inform all parties of details and confirm receipt of materials

• Order up off-air recordings from external facilities where required on content delivering post THE COMPANY transmission
• Support Asset Acquisition Co-ordinators on ingest orders with external facilities and provide reports on ingest volumes, turnaround etc.
• Provide research support on special projects, as required
• Proactively manage, select and arrange for materials to be up-loaded on to the OLC as soon as possible after delivery from Production or upon transmission (which is the earlier)
• To ensure all new OLC content appears on the site once uploaded, in a timely manner, and plays as expected, and to spot check Showcase files
• Locate missing paperwork from RAPIC and other sources to ensure WW systems hold complete set of material assets
• Manage / co-ordinate the transcription process for missing scripts

Knowledge, Skills and Abilities-Asset Acquisitions Assistant Job Description

• Experience in an administrative media environment is required
• Communication skills are essential. The post holder is required to have an articulate and concise telephone manner as well as the ability to write clear, concise and grammatically correct emails to internal and external contacts
• To be very customer focused with excellent customer service skills and ability to deal with people at all levels
• Strong organisational skills with the ability to quickly assess and prioritise work requests
• To work flexibly when under pressure at busy periods of the business calendar
• Excellent IT skills on basic systems e.g Word and Excel and needs to be adept at learning new systems
• A basic technical knowledge and understanding of the television production process is an advantage
• The post holder needs to able to operate clerical routines, work under pressure, be self-motivated, have a methodical approach with attention to detail
• The post holder will be required to work as an active member of a team, establish good working relationships, be proactive and use initiative and be able to work without constant supervision
