Register patients referred directly for test appointments.
Contact patients by telephone to book appointments, confirming appointment by letter and entering on hospital Clinicom system. Make follow up test clinic appointments as advised.
Ensure use of case note tracking and retrieval systems.
Collating of and transfer of referrals to database.
Filing of referral with appointment and of pending referrals.
To deal appropriately with telephone and direct enquiries from all sources regarding test appointments/results.
Co-ordination of annual repeat and future appointment list.
Point of contact for patients and other department members in cardiology.
Maintain efficient administrative systems within the office environment to contribute to the smooth running of the service.
Maintenance of cardiology appointment diary.
To prioritise workload at the direction of the Team Leader.
To provide an administrative support for the Outpatient Diagnostic Test Service.
Produce data to assist with monitoring test waiting times.
All patients to be booked prior to outpatient appointment. Post holder will be responsible for escalating any potential breaches via Team Leader.
Advise/ensure Team Leader aware as far in advance as possible about annual leave, cover requirements for the clinic.
Responsible for liasing with colleagues when required to do so, particularly in respect of meeting targets.
Instigate communication to clinical staff about any gaps in service provision in a timely fashion.
E.g. Requirement of technical expertise or knowledge specific to the role
Experience:
Previous experience relevant to the post
E.g. experience necessary to effectively perform role
At least one year’s experience of working within an office/hospital environment.
Face to face contact with patients.
Skills and Ability:
Additional expertise acquired through practice or training which is a requirement of the post.
E.g. Team Leadership, motivational or organisational skills
Computer skills.
Able to demonstrate accurate typing and data entry.
Use of Clinicom/PAS.
Personal Qualities:
Special aptitudes relating to the demands of the post
E.g. Team – player, flexible
Self motivated
Ability to organise own time and work whilst also meeting priorities of the clinic.
Excellent interpersonal skills and ability to be a team member.
Mature, flexible approach.
Keen interest in the service.
