a) Responsible for the allocation, recording and despatch of Fixed Penalty Notices to areas/traffic units, in strict compliance with audit requirements.
b) Responsible for the printing/checking/despatching of Notices of Intended Prosecution, Notices to Owner/Keeper/Hirer, Certificates of Fine Registration and correspondence.
c) Responsible for dealing with DVLA replies and queries.
d) Processing the receipt and recording of incoming mail and carrying out internal post runs.
e) Processing replies to Notices to Owner/Keeper/Hirer.
f) Processing system reports.
Responsible for the receipt and despatch of mail, production and dispatch of forms, maintaining the record of correspondence, providing a typing service to the Central Ticket Office, processing Fixed Penalty Notices, including HO/RT procedures, management of the department`s stationery requirements and dealing with telephone calls relating to any of these matters.
g) Inputting summons information onto the Court computer, preparation and despatch documents relating to the serving of summonses.
h) Maintaining the team`s filing system.
i) Input of Endorsable and Non Endorsable Fixed Penalty Notices to the CTO computer system, including HO/RT data.
j) Managing the CTO stationery system, checking and issuing stock and ensuring sufficient stocks are held to meet potential needs.
k) Providing an audio typing/Word Processing service for the department.
l) Any other duties commensurate with the role and grade as may reasonably be requested by line management.
3. Special Conditions/Points to Note:
a) Whilst the post is based primarily at the aforementioned location you may be required to work at other establishments on such duties as may be reasonably required of you and for which the appropriate allowances or transport will be provided.
b) The postholder may be required to work outside of normal office hours if necessitated by the exigencies of the service.
c) The purpose of this job description is to indicate the general level of duties and responsibility of the post. The detailed duties may vary from time to time without changing the general character or level of responsibility entailed.
d) All duties must be carried out in accordance with relevant Health and Safety legislation and good practice. A 'No Smoking in the Work Place' policy applies.
