To provide a full secretarial services to the Neurosciences department to ensure the smooth running of the department. This may include co-ordination of both clinical and non-clinical activities of senior medical staff.
Assist in the collation and presentation of all activity data required by the Directorate to aid decision-making and allow forward planning of future services.
Manage Consultant diary appointments on Groupwise, contacting relevant individuals, booking rooms, arranging hospitality, preparing papers etc., to ensure effective time management.
Deal with telephone enquiries, take messages accurately, open post, give information and advice (not medical) to GP’s, patients, relatives and other staff involved with the patient in manner
responsive to customer needs and in accordance with Trust procedures.
Type back dictation from shorthand or audio tapes from Consultants, Specialist Nurses, Therapists and / or medical staff within the Directorate to defined standards of presentation ensuring clinic tapes are typed within 5 working days. Check and amend documents to ensure
work is free from errors prior to collation and despatch, enclosing attachment as appropriate.
Take action as appropriate arising from the content of such transcription.
Collect and collate pathological results, x-ray results and any other clinical test results and ensure that these are drawn to the attention of the relevant medical staff to ensure action is taken with minimal delay – within 1-2 days.
Organise special investigations and procedures for patients as required both within the Trust and outside the Trust when these facilities do not exist with the Trust.
Maintain an effective filing and retrieval system, ensuring that outstanding issues e.g. test results,
are monitored and resolved.
Ensure that patients’ notes are logged on the PAS system, kept in a tidy state and held correctly prior to returning them to file or forwarding on to another department ensuring that at all times, these are accurately tracked on the patient administration system and in accordance with Trust policy.
Deal with correspondence as appropriate to provide professional and timely communication links between patients/relatives and medical/clinical staff and ensure channels of communication are efficient and effective at all times.
Ensure annual & study leave is managed appropriately
Keep track of patients who fail to attend outpatient appointments / admissions to ensure they are
not lost in the system and avoid unnecessary delays.
Provide cover for other medical secretaries in the division during periods of absence.
Adherence to all AGN’s related to the medical secretarial role is mandatory.
