Job Summary-PA People Director job description

To provide a comprehensive, proactive and personal secretarial and administrative support service
, to enable the post holder to effectively carry out commitments.

To receive and respond to telephone messages and enquiries, assessing and prioritising competing demands and screening calls where necessary. This will involve effectively managing difficult and demanding callers and pressing enquiries from high profile organisations and individuals.

The postholder will be required to anticipate potential problems and difficulties and to look for ways to resolve them.

The postholder will, where appropriate, provide answers to queries and requests for information, always being aware of the sensitive nature of some of the information being held, in order to provide excellent customer service. On their own initiative, the postholder will effectively deal with issues raised and take follow up action as required.

To receive visitors, including VIPs and ensuring that appropriate attention is paid to the necessary protocol and procedural issues.

To act as secretary to the Directorate Management Team ensuring that the agenda, minutes and relevant meeting papers are distributed on time. To type minutes as and when required for ad hoc or established meetings.

To plan and co-ordinate all travel arrangements, including flight bookings, rail warrants and hotel accommodation. The postholder will also arrange travel and hotel accommodation as required.

To maintain accurate records of the expenses and to liaise with the Finance Department and ensure accounts are processed accurately and expeditiously.

KNOWLEDGE AND EXPERIENCE

The education, qualifications, training and experience which are necessary to enable the postholder to perform the job fully and effectively (this is more than is required at initial recruitment).

At least three years experience in a senior secretarial/personal assistant post.

High degree of computer literacy.

Excellent written skills to enable production of correspondence on behalf of the Director.

Excellent minute-taking, audio skills (shorthand desirable)

Word processing to RSA Stage III level of competence.

Excellent organisational/time management skills.

Excellent command of the English language.

Good interpersonal skills with the ability to communicate at all levels but particularly when using the telephone.

Ability to prioritise own and other work.

Good written communication skills and ability to draft responses on behalf of the Director of People.

Ability to work under pressure with limited supervision, whilst maintaining a high standard of work.

Good sense of humour.

Assertive and resilient.

Ability to use own initiative.

Mature and flexible approach to work.
