Across its production units this broadcaster puts out many hours of radio drama, including daily soaps.

The Production Co-ordinator for Schedules provides comprehensive support to Management on the transmission schedule, its regular changes and associated compliance needs.

The postholder directly maintains a centralised record of the Transmission Schedule across those networks to which the team contributes.

The Schedules Co-ordinator liaises with all production teams, and the schedulers within each Network. They are the central reference and liaison point for all enquiries on current scheduling and related compliance issues

JOB SUMMARY

To initiate and produce, as part of a team, a wide variety of news and current affairs material for Radio and/or Television.

Principal Responsibilities

  * * To maintain an accurate version of the Output Transmission Schedule for all Drama strands. The schedule continually projects a two-year in advance picture to assist analysis of business strategy and trends.
  * * To ensure that each time a schedule change takes place the knock-on effect is "managed", through careful liaison with producers and the Network.
  * * To keep a clear view of the output guarantees [the OGs] from the various networks served and to highlight in advance any deviation from business levels that the department is expecting.
  * * To ensure that ahead of transmission, the appropriate compliance checks have been completed by producers and the Executive Producers they report to. To maintain a log of compliance issues, and to attend weekly Management Meetings with the Exec team.
  * * To maintain the departments Production Audit of those projects needing to be moved in the schedule or reallocated to different producers or which have unresolved rights issues. To achieve this through liaison with production teams and the Network schedulers. To provide the Exec Team with an update of these issues [via the document known as the Production Audit] at the Tuesday Management Meetings and to proceed with any action advised.
  * * Liaising with Executive Production Management, to maintain alongside the Schedule a parallel top level record of the income and expenditure driven by the transmission schedule. To refresh records as changes are advised, ensuring that the agreed volumes of output remain on course, advising the Exec team when issues arise from this. To liaise with Dramas Production Manager to ensure that all schedule changes are recorded.
  * * To alert the Exec team of out-of-time repeats, so that costs can be assessed and, if the projects are agreed for tx, so that they can be allocated to a BA to manage them onto air as appropriate.
  * * To collate and compile all Offers from departments producers for submission at the various Offers Rounds. When results are published, to interrogate RAP and from the data there to arrange information and listener feedback. With HDR, to create a programming schedule drawn up on the basis of dates by which producers say they can make programmes and with regard to the Networks output supply needs. To hold an overview of both the departments output and each producers individual workload. Once completed, to submit this to the Network for approval and for signing off. To use this to maintain an audit of work bought from each producer.

  * * To attend Publicity Meetings with HDR, the Executive Producers and Network representatives as required, and to provide a contact point for any back-up required after publicity meetings have taken place. To take notes as required. To retain a list, post-Offers Round and from knowledge of the Schedule, of key/high-profile projects in which Publicity or Radio Times might have a future interest.
  * * To foster good working relationships with the Network teams [ie Head of Planning and Scheduling, Commissioning Assistant & Schedules Assistant;] for the mutual resolution of scheduling difficulties. To act as a reference point for all queries from the Network Schedules officers -often when repeats are being scheduled; and to check that all information from these discussions is cascaded to the right production teams, esp. when the repeats scheduled have been produced by staff who have left.
  * * To be a PROTEUS champion for the department and to liaise with production staff (esp new joiners) at Offers Rounds to ensure that people understand the detail required for their submissions.
  * * Using the Schedule archive, to undertake research into both past and present schedule output -e.g. to create a record of all "new writing", "stage transfers" or "Shakespeare plays" produced in the last 5/10 years; or researching into past producer workloads etc

Skills, Knowledge and Experience Production schedules radio job description

  * # An understanding of the Drama production life-cycle, and the role that the Transmission Schedule plays in determining that. A knowledge of the key admin processes that occur along its course is also desirable.
  * # An ability to learn business systems speedily, and how to extract data needed from key systems such as PROTEUS. An ability to reconcile information and identify errors, together with a grasp of the methods and purpose of programme budgeting cost monitoring and forecasting.
  * # Knowledge of the company business and administrative processes, contract, insurance and copyright agreements, and health and safety at work regulations.
  * # Operational knowledge of computer systems, particularly financial software (e.g. SAP and Excel), The experience to adapt systems to meet schedules/cost monitoring needs.
  * # Knowledge of Proteus

  * * A flexible approach to variable workloads and working hours; resilience to work in a high pressure environment.
  * * Excellent IT Skills and understanding of key project monitoring processes on SAP.
  * * An eye for detail, high level of numeracy and accurate handling of data to allow some analysis work to be undertaken.
  * * Excellent organising and prioritising skills.
  * * Good oral and written communication skills, and a clear unambiguous approach to presentation of data.
