The Sales Administration Analyst will have primary responsibility for the complete administration of the sales order process. Duties will include a direct interface with Sales, Manufacturing, Engineering, and Finance to review and validate quotes and customer documentation, coordinating with these functions within the Company to obtain approvals, maintain quotes, close open items in order to execute a contract, manage order entry, backlog maintenance, order fulfillment and invoicing.
Administer entire sales order process including:
Maintain current and accurate customer files and information
Liaison between Sales and other departments in the company to approve and close a purchase orders and contracts
Prepare and process sales orders
Maintain and track quotes and proposals
Drive resolution of queries related to sales orders
Set up Projects in the ERP system for sales orders, engineering contracts and internal engineering projects
Update and maintain delivery/shipment schedule with Manufacturing
Maintain updates of contract and project status
Communicate with Sales regarding order and delivery status
Month and quarter-end revenue calculations and reconciliation
Process invoices upon project completion, milestones, and product shipment
Maintain properly updated contracts/order files and shipping documents
Maintain Rep agreements
Possess knowledge of Order Management business practices, policies and procedures
Competence with MS Office software, database skills, accounting practices
Strong written/verbal communication skills, excellent customer service and interpersonal skills
Strong organizational and time management skills
Attention to detail;
Demonstrated ability to work as part of a team
Preferred prior experience with and understanding of modules within Netsuite ERP system
Accounting experience at the level of general ledger accountant
Requirements:
BS/BA in Business Administration or related
5 or more years of relevant experience
